To teach at South Lake Art League, instructors must:
-
Be a current South Lake Art League member in good standing
-
Demonstrate experience and proficiency in their chosen medium
-
Submit a completed Instructor Application and Class Proposal
-
Agree to abide by all South Lake Art League policies and procedures
-
Attend a New Instructor Orientation and Training Session, if applicable
-
Sign the South Lake Art League Instructor Agreement
Approval to teach is granted at the discretion of South Lake Art League based on program needs, scheduling availability, instructor qualifications, facility considerations, and alignment with the League’s mission.
Approval of one class proposal does not guarantee approval of future classes or preferred scheduling requests.
Independent Instructor Relationship
South Lake Art League provides approved instructors with access to classroom space through its facility rental program. Instructors independently operate and administer the classes they offer at SLAL.
Instructors are not employees, agents, partners, or joint venturers of South Lake Art League and are not authorized to enter into agreements, make commitments, incur obligations, or otherwise act on behalf of SLAL.
Each instructor is responsible for the operation of their own classes, including curriculum and instruction, class pricing, student registration, payment collection, refunds, supplies and materials, student communication, supervision, recordkeeping, and compliance with requirements applicable to their instructional activities.
SLAL may review and approve class proposals, establish conditions for use of its facility, list approved classes on its calendar, and provide promotional support. These activities do not make SLAL the operator or administrator of an instructor’s independently conducted class.
Because instructors teach within the South Lake Art League Gallery and interact with the public in that setting, their conduct reflects upon the organization. Instructors are therefore expected to maintain the professional standards established in these Guidelines while using SLAL facilities.

An in-person orientation may also be scheduled when appropriate.
Important Information and Policies
Facility Rental Fee
South Lake Art League operates on a facility rental model. The Facility Rental Fee is paid at the time of booking. Instructors retain 100% of their class revenue and are responsible for collecting student payments directly.
Classroom reservations are not confirmed until:
- The rental fee has been paid
- The requested date and time have been approved
Rental Fees
- $22 for up to three (3) hours of facility use*
- The three-hour reservation includes setup, instruction time, and cleanup/breakdown
- Additional time is charged at $10 per hour
- Any portion of an additional hour will be billed as a full hour
- A valid credit card must be maintained on file for additional time charges
Instructor Insurance
South Lake Art League strongly encourages instructors to maintain their own general and/or professional liability insurance appropriate to the classes they teach.
While instructor insurance is not currently required by South Lake Art League, instructors are responsible for their own business operations, supplies, materials, instructional activities, and students while conducting their classes.
Instructors are encouraged to consult with an insurance professional to determine the coverage appropriate to their individual teaching activities.
Registration and Student Payments
Instructors are responsible for:
- Setting their own class prices
- Managing registrations
- Collecting student payments
- Maintaining their own payment processing system or payment gateway
- Communicating with students
- Handling class-specific questions
- Establishing their own cancellation and refund policies
- Maintaining records appropriate to their classes
- Collecting any forms, permissions, releases, waivers, emergency information, or other documentation applicable to their classes
South Lake Art League does not collect tuition or registration fees on behalf of instructors and does not administer individual instructors’ student registration or payment systems.
Classes for School-Aged Children and Teens
Instructors may propose classes for school-aged children and teens in kindergarten through 12th grade (K–12).
Classes in which children are dropped off and remain under the instructor’s supervision are limited to students who are currently school-aged and enrolled in kindergarten through 12th grade.
Children who have not yet entered kindergarten may not participate in a drop-off class.
If an instructor wishes to include a four-year-old or another child who has not yet entered kindergarten, the class must be structured so that the child’s parent or legal guardian remains present and responsible for the child throughout the class.
Instructors may instead choose to limit their classes exclusively to students currently enrolled in kindergarten through 12th grade.
Class descriptions, advertisements, registration pages, social media posts, flyers, and other promotional materials must accurately state the applicable age or grade range and any parent/guardian attendance requirement.
Instructor Responsibility for Classes Involving Minors
Classes offered by independent instructors are administered by the instructor, not South Lake Art League.
The instructor is responsible for registration, payment collection, communication with parents or guardians, supervision of students, and maintaining any records, forms, permissions, releases, emergency information, or procedures appropriate or applicable to the instructor’s class.
Instructors offering classes to minors are strongly encouraged to use professional safeguards appropriate to working with children, which may include:
- General and/or professional liability insurance appropriate to their instructional activities
- Appropriate background screening for instructors, assistants, or others working directly with children
- A secure registration and payment gateway
- Parent or guardian contact and emergency information
- Registration forms, participation agreements, releases, waivers, and permissions appropriate to the activity
- Clearly communicated drop-off and pickup procedures
- Emergency and authorized-pickup procedures
- Other documentation, policies, procedures, or safeguards appropriate or legally applicable to the instructor’s particular activities
It is the instructor’s responsibility to determine which requirements apply to their independent instructional activities and to maintain any required documentation.
Unless specifically requested for SLAL facility, insurance, or legal purposes, South Lake Art League does not collect or maintain an instructor’s student medical records, emergency information, background-screening records, releases, waivers, or similar student documentation.
Parents and guardians should communicate class-specific information directly to the instructor.
Instructor Supplies and Storage
Instructors are responsible for providing all materials and equipment needed for their classes. This includes, but is not limited to, art supplies, paints, brushes, pencils, markers, paper, water containers, scissors, tape, easels, table coverings, aprons, extension cords, cleaning supplies, and other materials required for instruction.
Paper towels, cleaning supplies, toilet paper, and other consumable items provided by South Lake Art League are intended for general facility use and may not be used as classroom supplies.
The Gallery does not provide storage for instructor materials or equipment. All supplies, teaching materials, and artwork must be transported to and from the Gallery at the beginning and end of each class.
Artwork or supplies may not be left overnight unless prior arrangements have been approved by South Lake Art League.
Marketing Support, Identification, and Representation
South Lake Art League provides approved instructors with rental space and promotional support for classes held at the Gallery. Instructors independently offer, operate, and administer their classes.
Instructor and Class Identification
Instructors are not employees, agents, or representatives of South Lake Art League and may not describe themselves or their classes in a way that suggests they work for or are acting on behalf of SLAL.
Instructors should identify themselves as independent instructors teaching at South Lake Art League.
The distinction is simple:
The instructor is the host and provider of the class. South Lake Art League is the venue.
Class listings, registration pages, advertisements, flyers, social media posts, and event listings should identify the instructor or their business as the class provider and South Lake Art League as the location.
For example:
Watercolor Workshop with Jane Smith
Held at South Lake Art League
or
Hosted by Jane Smith Art Studio
Location: South Lake Art League
Instructors should not use titles or descriptions such as:
- “Instructor for South Lake Art League”
- “South Lake Art League Instructor”
- “Teacher for South Lake Art League”
- “SLAL Art Instructor”
- “South Lake Art League’s Watercolor Workshop”
Similar wording that could reasonably suggest that the instructor is employed by SLAL or that SLAL is operating or providing the class should also be avoided.
When a registration, ticketing, social media, or event platform requests the host, organizer, instructor, or provider, instructors should use their own name or business name. South Lake Art League should be listed as the venue or location.
Instructors may not use the SLAL name, logo, or branding in a way that suggests SLAL employs the instructor, operates the class, collects class revenue, or is responsible for the instructor’s business or instructional activities.
An instructor’s SLAL membership and use of SLAL facilities do not create an employment, agency, partnership, or business relationship between the instructor and South Lake Art League.
Marketing Support from SLAL
South Lake Art League may help promote approved classes through available marketing channels, including:
- SLAL website and calendar listings
- Social media
- Email communications
- Printed materials and community outreach when available
- Limited use of the SLAL outdoor bulletin board
- Limited use of the SLAL class binder
SLAL’s promotion of an instructor or class does not change the independent relationship between the instructor and South Lake Art League.
Instructors are also encouraged to promote their classes through their own websites, social media, newsletters, and community networks.
SLAL may create general promotional content for classes, programs, and events using representative imagery consistent with Art League branding. Individual class promotions will use instructor-provided photographs whenever practical.
Outdoor Bulletin Board
One 5″ x 7″ flyer per class may be displayed on the SLAL outdoor bulletin board, subject to available space. Flyers may only promote classes being held at SLAL and must contain images and content appropriate for all ages.
SLAL announcements, exhibitions, events, and organizational communications take priority. Class flyers may be moved or temporarily removed as needed. Instructors are responsible for removing outdated flyers promptly after their classes have ended.
Class Binder
Instructors may place promotional materials for classes being held at SLAL in the designated class binder. Materials must be placed in the appropriate section and contain images and content appropriate for all ages.
Instructors are responsible for keeping their materials current and removing outdated information.
Fair Use of Shared Marketing Spaces
The bulletin board and class binder are shared SLAL marketing resources intended to provide fair representation for all instructors and classes.
Instructors may not remove, relocate, cover, alter, or obscure another instructor’s materials; rearrange materials; or otherwise modify either space in an effort to give greater visibility, prominence, or emphasis to their own class.
Placement and organization of materials are determined by SLAL.
Failure to follow these guidelines may result in suspension or revocation of bulletin board and/or class binder marketing privileges.
Facility Responsibilities
Instructors are responsible for the classroom and facility during their scheduled reservation.
The facility must be left in the same or better condition than it was found. Responsibilities include:
- Cleaning work surfaces
- Sweeping floors as needed
- Cleaning sinks
- Removing trash
- Returning furniture and equipment to their proper locations
- Turning off lights and equipment
- Following applicable closing procedures
- Securing the facility before departure when applicable
- Ensuring students, assistants, and guests follow facility rules
All setup, instruction, cleanup, and breakdown must be completed within the instructor’s reserved time.
Instructors may be held financially responsible for damage caused by themselves, their assistants, guests, or students beyond normal wear and tear.
Class Cancellations
Instructors are responsible for notifying students and South Lake Art League promptly of any class cancellation or schedule change.
Failure to provide proper notification may result in suspension or revocation of teaching privileges.
If an eligible reservation is cancelled, the instructor may request either:
- A refund of the rental fee
- A credit toward a future class reservation
Reservations cancelled within three (3) days of the scheduled class date are not eligible for a refund of the facility rental fee.
Any refunds, credits, transfers, or makeup arrangements involving registered students are the responsibility of the instructor and are governed by the instructor’s own registration and cancellation policies.
Lost and Found
South Lake Art League is not responsible for lost, stolen, or damaged personal property belonging to instructors, assistants, students, or guests.
Items found in the Gallery will be placed in lost and found for seven (7) days. Unclaimed items may be discarded or donated as appropriate.
Professional Conduct
Instructors teaching in the South Lake Art League Gallery interact directly with members of the public, and their conduct reflects upon the organization.
Instructors are expected to conduct themselves in a professional, courteous, and respectful manner and to help foster a welcoming, inclusive, and positive learning environment for all participants.
Instructors are responsible for:
- Treating students, parents and guardians, members, volunteers, visitors, and fellow instructors with respect
- Maintaining a clean and safe classroom
- Arriving prepared and on time
- Communicating clearly and professionally with students
- Demonstrating consideration for shared Gallery spaces and resources
- Following South Lake Art League policies and procedures
Professional conduct does not create an employment or agency relationship between an instructor and South Lake Art League or authorize an instructor to act on behalf of the organization.
Failure to uphold these standards may result in suspension or revocation of teaching privileges.
Compliance and Teaching Privileges
Use of South Lake Art League facilities is a privilege extended to approved instructors.
SLAL reserves the right to decline a class proposal or suspend or revoke teaching and facility-use privileges for failure to comply with the Instructor & Facility Use Agreement, these Guidelines, facility policies, reservation requirements, professional conduct expectations, or other applicable SLAL policies.
